At the World Hepatitis Alliance, we are committed to securing your personal information and being open and transparent about what we do with it. We will only use your personal information in accordance with all applicable laws concerning the protection of personal information. We will never do anything with your information that you would not reasonably expect us to do, having freely provided us with it.
- How do we obtain your personal information?
We collect this information directly from you either when you email us or submit your information to us through the website. You may give this information to us when signing up to become a member, signing up to our HepVoice magazine, participating in any event on or offline that we host, or otherwise give us your personal information. Where a professional interest is deemed to exist, we sometimes use a business email address that is in the public domain.
Sometimes your information will be processed by an organisation working for us (a data processing company), but at all times these companies will have been vetted and have their own approved Data Protection Policy.
- What information do we collect?
Personal information is any information that can be used to identify you. This can be anything from your name and email address through to your health or personal circumstances. Data protection law recognises that certain categories of personal information are more sensitive. We do not collect this sensitive personal data unless it has been provided to us for a specific purpose (for example, indicating what type of hepatitis you suffer(ed) from for a Wall Of Stories submission). The most common forms of personal information we hold on individuals are simply their names and email addresses.
- How do we use your information?
How we use your information is compliant on why you provided it to us in the first place. Largely, we will contact individuals in order to effectively continue to engage with them based on a common goal of eliminating viral hepatitis. This can consist of providing information about upcoming webinars, events or surveys or to actively seek individual’s involvement in campaigns to support our mission and vision as an organisation. We also use your information to keep a record of your relationship with us, for internal administrative purposes and to let you know about changes to our services.
– Direct Marketing
By providing us with your email address we will send you communications about our work, campaigns and organisational direction. Occasionally, we may include information from partner or member organisations who support our work. You can opt-out of these marketing emails at any time and we include information on how you can say no to such marketing in our emails.
You can also let us know if you would prefer not to receive these communications at any time by email email@example.com, or writing to our Data Protection Officer at the address above.
– Wall of Stories Information
WHA reserves the right to remove any story that is deemed inappropriate or offensive, or that advertises or endorses a person, product, or service. Submissions may be edited for clarity, formatting, and grammar. Users who submit a story to our Wall of Stories agree that the personal information they provide (being in this instance their story, images, name and location) is in the public domain and can be used by WHA in support of their actions to eventually see an end to viral hepatitis.
– Use of Member Information
Individuals and organisations who successfully apply to become a member of WHA agree to their information being available publically on WHA’s website. They also agree to be contacted regularly by WHA as is reasonably expected. This information will also be passed to aid regional queries from members of the public that WHA receive. Members’ information may also be passed to sponsors or partners in relation to specific projects if WHA feels that the member is best suited to assist, or may be interested in assisting the project. It is the member groups’ responsibility to ensure that their contact information is up to date.
- Who do we share your information with?
All personal information is stored and processed in our UK office. We will not sell your details to any third parties, but we may sometimes share your information with our trusted service providers who are authorised to act on our behalf or with associated member organisations whom we work in partnership with to deliver and improve services for people affected by hepatitis.
When we collect your personal information we use strict procedures and security features to prevent unauthorised access. However, no data transmission over the Internet is 100% secure. As a result, while we try to protect your personal information, World Hepatitis Alliance cannot guarantee the security of any information you transmit to us and you do so at your own risk.
- Accessing and updating your personal information
You can request access to any information we hold about you or to let us know if you would no longer like to receive communications from us by contacting our Data Protection Officer at World Hepatitis Alliance, Unit 6, 27 Corsham Street, London N1 6DR United Kingdom email firstname.lastname@example.org. Equally, please let us know of any changes to your personal information.
